** Should all business not be completed on the Council meeting date listed above, Council may consider a meeting on the 4th Thursday of the month commencing at 9:00 am. as per Council Procedure Bylaw Sec. 6.1 as attached.

 

Delegations:

Individuals or delegates wanting to address Council are to submit a brief outline of the matter so Council is able to familiarize themselves with the issue in advance. We require the request and materials/handouts  are submitted to the RM office by 12:00 pm (noon) on the Thursday preceding the date of the Council meeting you wish to attend. Presentations are limited to 10 minutes per subject matter (unless extended by a unanimous resolution of Council). There is a limit of two delegations per meeting. Please complete the Delegation Policy form and submit to Administration. If you need to cancel or reschedule as a delegation please notify the Administration office as soon as possible.

Correspondence to Council/Administration:

The RM of Pleasantdale No.398 will not forward any anonymous communications to Council or staff.  All correspondence must provide contact information as per Sec 19, Bylaw 12-2021 A Bylaw To Regulate the Proceeding of Municipal Council and Council's Committees

It is important to note that letters addressed to the Reeve and Council may  be included under Correspondence on a council agenda and that once they are received they are public documents. Correspondence specifically addressed only to the Reeve, Councillor or a staff member may not necessarily be presented at a meeting or placed on the agenda.  All letters are opened and handled by Administration. 

Letters marked CONFIDENTIAL on the outside of the envelope AND addressed to Reeve and Council will be presented to Council at an in-camera session at a Regular Meeting of Council.  If the contents of a letter marked confidential are not deemed confidential under the Local Authority Freedom of Information and Protection of Privacy Act (LAFOIP),  the letter may still be deemed public information. Letters received that are perceived to contain confidential information under LAFOIP, may have portions redacted from public view and may be discussed in-camera.

Correspondence is posted as part of the Council Meeting package and Agenda.. The personal information contained in a letter to Reeve and Council is collected under the Local Authority Freedom of Information and Protection of Privacy Act(LAFOIP) and will be used only to respond to the letter writer. This means that while your name will appear on the letter, your contact information (mailing address, telephone number, etc.), under LAFOIP, will be blocked from the public.
